AI in service of rest: a retreat programme that thinks along with the guest
A retreat in Zeeland lives on details: the right time for a walk on the mudflats, a breath session that suits the guest who just arrived, a dinner that fits the rhythm of the day. Kanoa wanted to keep that care, without the host building everything by hand. Together we set up an AI-supported programme that thinks along with each guest, and frees the host for the work only a human can do.
A small team, a personal programme per guest, and a season that accepts no delay
Kanoa offers retreats from Zeeland: multi-day programmes where yoga, breathwork, nature and food come together. Guests book for the rest, but expect the stay to suit them, not a standard weekend. The host wants to work out every booking personally, and runs into the simple problem that one person cannot do that for twenty guests at once without gaps appearing.
The editorial behind the programme was handwork until then: a separate email per guest, a new schedule per season, every excursion rethinking how the story is told. No consultancy circus, no heavy dashboard, just a workflow in which AI handles repetition and the host guards the tone. That was the starting point.
Three steps, one programme the host can actually run
Analysis of the guest journey
We mapped the whole journey, from first booking to aftercare. Which moments truly matter, where the host wants to stay in the lead, and which work does not belong with a human but with a good process.
Strategy for a personal programme
We built a programme model with building blocks: sessions, excursions, meals, rest moments. Per guest, AI links the blocks to preferences, experience and season. The host decides, AI lays the puzzle.
Implementation in the season
We launched with a simple dashboard: new bookings automatically receive a draft programme, the host adjusts where needed and sends it through. Communication before and after the stay runs through the same line.
A workflow where AI lays the schedule and the host welcomes the guest
No closed platform, but a workflow that fits the scale of a retreat. Components stand on their own so we can adjust per season or per programme variant, without overhauling the whole system.
- 01Intake flow where AI turns guest preferences into a personal programme
- 02Programme model with day parts, activities and rest moments per guest
- 03Editorial library with building blocks for sessions and excursions
- 04Booking dashboard where the host sees the season at a glance
- 05Automated guest communication before and after the stay
- 06Measurable guest satisfaction and return visits per programme variant
What the programme delivers in numbers
minutes average preparation time per guest (was several hours)
less manual work in guest communication before and after the stay
personal programmes set up in the first season

“The system does the work I always still did in the evening, and I can really be with the guests during the day. That is the difference they feel too.”
