Dutch businesses spend an average of 30 to 40 percent of their time on repetitive tasks: entering data into systems that don't talk, compiling reports from scattered sources, answering emails that follow the same structure week after week, writing content, taking phone calls that ask the same 80 percent of questions. Work that must be done, but that adds no strategic value and quietly drains good employees.

AI automation changes this fundamentally, not with a large IT migration but with targeted solutions that go live within weeks. An AI agent that answers your phone outside office hours and processes routine bookings directly. A workflow that pulls invoices from your mailbox, classifies them, and automatically books in Exact or AFAS. Content pipelines that generate product descriptions or social posts in batches. Email classification that segments and routes your inbox automatically. Work that took hours before, now takes minutes.

DataDream works for companies throughout the Netherlands: from Zeeland SMEs to Amsterdam scale-ups, from retail to industrial services, from professional services to hospitality. Our case mix covers voice agents, content automation, email classification, invoice processing, and workflow integrations between existing tools. No abstract transformation, just concrete hours-per-week savings.

Starting is possible with a short analysis to see where the biggest impact sits for your business. Often it is not at the processes that stand out most, but at silent time-wasters no one notices anymore because they've been that way for years. We work through a cost-benefit analysis upfront and only build where it makes a measurable difference. No hidden costs, no yearly contracts. If it works, we grow with you. If it doesn't, we say so.

Challenges

01

Hours lost to repetitive work

Entering data between systems that don't talk, creating reports, sending standard emails, writing content. It costs hours per week per employee and adds little value to your business.

AI workflows automate these tasks fully or up to 80 percent. You focus on growth, client relationships, and strategic decisions.

02

Processes are error-prone and inconsistent

Manual processes lead to mistakes: wrong data, missed deadlines, inconsistent communication, sign-ups that fall through. At volume, errors multiply and damage grows.

Automated workflows are consistent, error-free, and work 24/7 without breaks. With monitoring and alerts you always know everything is running.

03

Scaling doesn't work without proportionally more people

More clients means needing more hands. But good staff is scarce and expensive. Hiring takes months, training takes months more, and peak moments break your system.

AI automation lets you scale without proportionally more staff. Workflows and agents scale automatically in peak moments. More output with the same team.

04

Outside office hours you miss business

Clients call in the evening, email at weekends, do research at 11pm. If you're not available the moment they're in buying mode, they go to your competitor.

AI voice agents answer the phone outside office hours and process routine queries directly. AI chatbots answer questions on your website 24/7. You're always reachable without always being on.

05

Tools don't talk to each other

You already have a CRM, accounting tool, inbox, PIM system, webshop, and marketing tool. But nothing talks to each other. Every new tool is an island and manual handover costs time daily.

We build integrations via API or Make.com/n8n. Workflows that pull data from one system, execute AI steps, and write results to another. All in the background.

Frequently asked questions

What tasks can you automate with AI?

Virtually any repetitive task: writing content, answering emails, processing data, generating reports, handling customer queries, processing invoices, managing social media, qualifying leads, taking phone calls. Examples from practice: voice agents that handle routine phone calls and pass them on cleanly, content pipelines that generate product descriptions, email classification that segments your inbox automatically. If the task follows a pattern, AI can handle it.

Does AI automation work with my current software?

Yes. We integrate with most business tools: Google Workspace, Microsoft 365, Slack, Notion, HubSpot, Salesforce, Pipedrive, Exact, AFAS, Visma, Shopify, WooCommerce, and hundreds of others via API. We also work with Make.com and n8n as workflow bridge where direct API connection is not possible. No integration gets rejected, we always find a working route.

How do you approach an engagement?

We work in phases. First a short analysis to find the impact points in your processes. Then a focused pilot to test assumptions. Only after that do we scale what works and stop where the business case doesn't close. You evaluate at each phase whether we continue, so you don't get locked into a big upfront commitment.

What if something goes wrong with the automation?

Every automation includes monitoring and error handling from day one. If something goes wrong, you get an instant notification via email or Slack. Workflows have automatic retry logic for temporary API errors. Important processes have fallback paths: if AI fails, it goes to a human handler. With a retainer subscription, we proactively monitor the system and solve problems before you notice them.

What examples of AI automation can you show?

Examples from our work: voice agents that handle routine phone calls and pass them on cleanly, content pipelines that generate product descriptions, email classification and invoice processing, lead qualification via smart workflows, and report generation based on data from existing systems. For most clients a combination of these elements runs.

How do you work with budgets and scoping?

Every engagement starts with a short analysis so we can lock the scope before drafting a proposal. We work through a cost-benefit analysis upfront so you know what the return looks like. No hidden costs, no yearly contracts with vendor lock-in. If the business case doesn't close, we say so honestly.

What about GDPR and data security?

We work GDPR-compliant with EU-only data storage on request. Customer data is never used for AI training. For sensitive processes (HR, finance, legal) we build on-premise solutions. We sign data processing agreements as standard and document AI Act status per use case. For clients with works councils, we actively coordinate on governance.

Do you only work with SMEs or also scale-ups and large companies?

Our sweet spot is SMEs and scale-ups (5 to 100 employees). Our approach works best there: direct line with the founder and fast iteration. For specific departments or innovation projects within larger organisations we work fine too. For enterprise procurement processes with tenders we fit less well, which we say honestly rather than force-fitting.

// Dutch compliance context

Working within the Dutch framework

AI automation in the Netherlands operates within a specific legal and oversight framework. The Dutch Data Protection Authority (Autoriteit Persoonsgegevens) supervises GDPR compliance and since 2024 has a dedicated coordinating role for algorithms and AI. The Dutch implementation of the EU AI Act has been phasing in since February 2025, with additional requirements for high-risk applications from August 2026.

Practical: we document AI classification per use case, sign data processing agreements as standard, and offer EU-only data storage on request. For clients with works councils we contribute to governance and transparency towards staff.
