Best AI for invoice processing: which tool fits your SME in 2026

At SMEs, invoice processing is usually the first thing I automate. The time saved shows up within a week, it plugs into the accounting software that's already in place, and it makes something visible that used to be invisible: how many hours per month went into retyping, clicking and forwarding. The market is now full of tools that promise this. Below is an honest buyer's guide: which tool fits which type of business, which accounting package it connects to, and what you really need to check before signing up.

How AI invoice processing actually works

The basics are always the same chain. An invoice or receipt comes in, by email, app, scan or procurement portal. OCR reads the text from the document. An AI layer pulls the relevant fields out of it: supplier, date, amount, VAT, invoice number, ledger account. Then comes the booking proposal: the tool suggests how it should be booked, based on earlier bookings for the same supplier. You approve or correct it, and the entry flows on to your accounting package.

The win isn't in OCR itself, that has existed for twenty years. The win sits in the learning layer on top: how often the proposal is right the first time, how well it matches purchase orders, and how much you still have to do by hand. Klippa reports up to 70 percent less processing time for clients moving over from manual bookkeeping. Dext claims 99.9 percent accuracy on the fields they extract. Those are vendor numbers, treat them as an indication, not a promise.

Two kinds of tools: specialised or built in

There are roughly two categories, and the difference often decides your choice.

The first are the specialised processing tools that run alongside your accounting software and feed into it: Klippa SpendControl, Basecone, Dext, Spendcloud. These tools do one thing very well (process documents) and push the result through. They usually connect to several accounting packages at once, and are often stronger at approval workflows, expense claims and spend management than the accounting packages themselves.

The second are the accounting packages with built in recognition, like Yuki and Rompslomp. Invoice processing is included by default, and you don't have to connect anything. Both a plus and a minus: less setup work, but you're also locked into that one package.

Specialised tools, one by one

Klippa SpendControl is a Dutch player that handles purchase invoices and expense claims in one environment. Strong at multi layer approval workflows (handy as soon as your team grows) and connects to Twinfield, Exact Online, AFAS and Microsoft Dynamics. The AI OCR is solid for Dutch invoices, and the employee expense app is one of the nicest of the bunch. A good fit for SMEs with a few hundred to a few thousand documents per month and internal approval steps.

Basecone has been in the market for a while and is known for a high recognition rate on Dutch invoices. Send in by email or the app, you get a booking proposal, you click to approve. Connects directly to Twinfield, Exact Online and SnelStart, and through a middleware link also to Moneybird and e-Boekhouden. Many accounting firms work with it by default, so if your accountant is on Twinfield this is often the path of least resistance.

Dext (formerly Receipt Bank) is the strongest internationally. Connects to Twinfield, Exact Online, Xero and QuickBooks, and is above average at automatic matching with earlier bookings and at applying VAT rules per country. A logical pick if you receive invoices from multiple countries or work internationally.

Spendcloud (part of Visma) is broader than just invoice processing. It covers every kind of spend: purchase invoices, expense claims, employee payment cards, and the chain from procurement to payment. Connects to Exact Online. Interesting once you don't just want to book invoices, but want a grip on who is spending what and why.

Accounting packages with strong built in recognition

Yuki is a full accounting platform with autonomous document processing as a core feature. Invoices, receipts and bank statements go in, and the package books more and more of it itself without you having to choose. More than a hundred integrations with CRM, payroll and webshop systems. Often chosen by accountants who want to serve their clients in one environment.

Rompslomp is the lighter sibling: aimed at freelancers and small SMEs, with a pleasant interface and webshop integrations. Less suitable once you want approval workflows or large volumes, but excellent for anyone who wants to keep simple what can stay simple.

What you really need to watch when choosing

The comparison goes beyond a nice demo. These are the points where it gets stuck in practice:

  • Recognition rate on your type of invoices. Ask for a trial with thirty of your own invoices, not their samples. The numbers in marketing material are always on ideal documents.
  • The integration with your exact accounting package. Not "connects to Exact" but "connects to Exact Online version X via API Y". Call your accountant before you sign.
  • The approval workflow. What does it look like when three people have to sign off and one is on holiday? Can the tool handle that?
  • The pricing structure. Per document, in tiers, with or without fair use? At higher volumes the differences add up quickly.
  • Does the tool handle UBL and e-invoicing. The EU mandate for business to business e-invoicing is coming in most member states. A tool that handles UBL out of the box saves you a migration later.
  • Where your data is processed. For GDPR purposes: EU hosting isn't a luxury, it's a baseline requirement. Ask explicitly and get it on paper.

No off the shelf answer

The honest summary: there is no winner in absolute terms. For every situation there is a fitting solution.

Are you a freelancer or small business on Moneybird or Rompslomp doing a few dozen invoices per month? Then Basecone as a top up is often more than enough, or you stay inside the package itself. Working in a growing SME with hundreds of invoices per month on Twinfield or Exact Online? Then Klippa and Basecone rise to the top. Want more than just invoices, and tighter control over the whole spend process (expenses, cards, procurement)? Then Spendcloud is the more logical choice. Working internationally or with multiple currencies? Dext has the most experience there.

The agent layer: from recognising to booking on its own

What makes this category of tools interesting right now is that the focus is shifting. Five years ago the promise was "automatic extraction". Today they match against purchase orders, apply VAT rules per country, flag deviations from earlier invoices from the same supplier, and increasingly book on their own when the tool is confident enough. With that, invoice processing shifts from manual, through supporting (you approve), to autonomous (the tool books, you check exceptions afterwards).

That's not a question of if, but of when and how. The tool you pick today will do meaningfully more in a year than it does today. So don't choose only on what it can do now, but also on who is behind it and how often new features actually ship.
